Job Summary

This position is on-site at the CITGO Lemont Refinery, in Lemont, Illinois.

The Training Systems & Documentation Management Specialist is responsible for administering the refinery’s learning management and procedure management systems while managing training documentation, controlled records, and regulatory compliance processes. The position supports workforce development by ensuring the integrity of training systems, documentation, reporting, and records throughout the employee lifecycle.

This position serves as the designated Records Coordinator ensuring compliance with corporate records management requirements, record retention schedules, audit readiness, and regulatory documentation standards.

Expected Salary: $93,000 - $126,000

Minimum Qualifications

  • Bachelor’s degree plus minimum of 2 years of job-related experience (required).
  • High School Diploma with 8 years of experience in lieu of degree.
  • Advanced computer proficiency with Microsoft Office and ability to learn enterprise software applications.
  • Experience administering or supporting learning management systems and other business systems.
  • Knowledge of document control, records management, and version control practices.
  • Strong organizational, planning, and project coordination skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills with the ability to collaborate across all levels of the organization.
  • Strong attention to details with a commitment to data accuracy and documentation integrity.
  • Analytical and critical thinking skills with the ability to identify opportunities for process improvement.
  • Experience developing reports, presentations, dashboards, and other business communication.
  • Experience supporting training, documentation, compliance, or records management functions within a manufacturing or other regulated environment.
  • Graphic design, instructional content development, or SharePoint experience.
  • Valid driver's license
  • Ability to obtain a Transportation Worker's Identification Credential (TWIC)

 

 

Job Duties

  • Training Systems Administration: Administers and supports the refinery’s learning management and associated training systems to ensure accurate employee training records, regulatory compliance, and effective workforce development. Manages systems configuration, curricula, learning plans, training assignments, user access, reporting, troubleshooting, testing, and implementation of system enhancements. Collaborates with Corporate LMS Administrator, IT, SMEs, and third-party vendors to develop, implement, maintain, and continuously improve learning technologies and computer-based training solutions.
  • Documentation Management & Procedure Governance: Develops, manages, and maintains controlled training documentation, procedures, and employee learning resources throughout their lifecycle. Coordinates document creation, review, revision, publication, version control, and governance to ensure compliance with corporate standards, regulatory requirements, and document management practices. Maintains departmental SharePoint resources, training communications, and supporting documentation while promoting consistency, accessibility, and document integrity.
  • Records Coordination & Regulatory Compliance: Serves as the designated Records Coordinator at the Refinery. Administers record retention, archival, and disposition activities in accordance with corporate records management requirements while maintaining the integrity, confidentiality, and accessibility of official records. Supports regulatory compliance by maintaining training documentation required for internal and external audits and regulatory agencies.
  • Training Content, Reporting & Continuous Improvement: Develops and maintains training content, communications, reports, dashboards, job aids, and employee-facing resources that support refinery operations and workforce development. Analyzes training and documentation data to identify trends, compliance gaps, and process improvement opportunities. Coordinates with business partners to implement new processes, improve system functionality, and enhance the effectiveness of training, documentation, and reporting practices.
  • Department Support & Cross-Functional Collaboration: Provides operational and administrative support to Training and Development by coordinating departmental communications, supporting classroom and training activities, managing shared departmental resources, participating on cross-functional committees, and collaborating with Operations, Maintenance, HSSE, IT, and other business partners to achieve departmental and refinery objectives.
