Job Summary
Responsible for providing administrative assistance and support to attorneys and paralegals in Legal Department, including the General Counsel. Familiar with a variety of legal concepts, practices, and procedures. Relies on experience and judgment to plan and accomplish goals. This position will support managers, attorneys, and legal staff in clerical work and administrative and business detail. Performs a variety of complicated tasks. A wide degree of creativity and latitude is expected. Duties include scheduling meetings; preparing expense reports; ordering supplies; maintaining confidential data, records and reports; advanced organizational skills including scanning and electronic filing; updating TeamConnect database; making travel arrangements; preparing, modifying and creating PowerPoint presentations; procuring food and equipment for meetings, events, celebrations and company functions; and drafting meeting notes, legal documents and communications. Expected to deal effectively and professionally with clients, senior management, external counsel and other external resources, in person, electronically or on the phone. Familiarity with electronic data research sources such as the Internet, Westlaw and printed legal reference materials. Good understanding of litigation processes and database requirements
Minimum Qualifications
High school or equivalent required. Some college or legal education preferred. Seven (7) years experience in an administrative role with 3+ years experience with a corporate legal department or lawfirm preferred. Microsoft Word, Excel, Outlook, and PowerPoint proficiency required. Legal matter management database experience Strong verbal and written communication skills Understanding legal terminology helpful. Excellent knowledge of English language usage, spelling, punctuation and arithmetic. Proficient organizational skills; ability to handle multiple projects; ability to manage confidential and sensitive information. Ability to work under minimal supervision and to follow established procedures. Ability to deal effectively with others and to provide information concerning matters related to departmental function.
Job Duties
1. Proficient use of company specific software like Team Connect, and Collaborati, as well as Word, Excel, Powerpoint and SAP, to create and revise documents, spreadsheets, presentations and graphics.
2. Process invoices in TeamConnect and SAP. Monitor daily reports for errors and modify invoices in TeamConnect that were not successful in posting against legal matters due to system account creation errors and java script errors.
3. Schedule departmental meetings and events. Procure food and equipment for meetings, events, company functions and celebrations.
4. Prepare expense reports.
5. Use advanced organizational skills to maintain a comprehensive filing system, scan and electronically file documents, and manage multiple projects at one time in a fast paced environment.
6. Draft legal documents, basic communications, and meeting notes.
7. Create and maintain spreadsheets, reports and charts with information for attorneys as requested. Presentations: Prepare, modify, create or translate PowerPoint presentations. Proficient use of company specific software and produce routine
graphics.
8. Travel: Arrange domestic and international travel itineraries (including flights, hotel booking, transportation, and working with company-approved travel agents) for attorneys and paralegals and other individuals as requested.
9. Monitor and evaluate the accuracy of the data through proactive system
management and continued quality assurance efforts. Maintain general database systems in TeamConnect and financial databases in conjunction with review of financial databases in SAP for consistency.
10. Needs a good understanding of legal terminology and strong communication skills to assist with special projects as needed.
11. Proficient with the use of printed and electronic data for research purposes and navigation of electronic databases such as TeamConnect, SAP, and SharePoint.
